📝 docs(events): Centralize Event Box inventory and logistics #11

Migrates the Fedora Event Box (Pelican case) tracking from disparate Wiki pages and spreadsheets into the central Antora-based documentation. This establishes a single source of truth for event organizers regarding shipping logistics and current inventory levels for 2026.

Changes included in this commit:

  • Create modules/events/pages/boxes/index.adoc:
    • Defines the purpose and goals of the Event Boxes program.
    • Standardized shipping specifications (weight/dimensions) to assist organizers with courier bookings.
    • Adds a "Call for Participation" for establishing APAC and LATAM boxes.
  • Create modules/events/pages/boxes/united-states.adoc:
    • Establishes inventory tracking for the North American box based in Raleigh, NC.
    • Notes the inclusion of the ThinkPad X1 and Slimbook hardware.
  • Create modules/events/pages/boxes/europe.adoc:
    • Establishes inventory tracking for the EMEA box based in Brno, CZ.
    • Adds specific warnings regarding international laptop shipping limits for legal compliance.
  • Update modules/events/nav.adoc:
    • Restructures the navigation to include "Event Guidelines & Resources".
    • Links the new Event Box pages into the main sidebar.

The Fedora Event Boxes overview page rendered in Antora, showing sections for Purpose and Goals (consistency, ease of use, resource sharing), Current Locations listing the US and EU boxes with links, Logistics and Shipping with standard Pelican 1610 case specifications (61x34x50cm, approx. 25kg), and a Help Wanted call for APAC and LATAM regional partners. The left sidebar shows the page nested under Event Guidelines and Resources.

Contents include a Pelican 1610 shipping container, case badges, tablecloth, Lenovo T150 laptop, OLPC XO laptop, power strip, pens, markers, tape, combination lock, various swag items, Fedora Activity Day posters, and Fedorator components (Raspberry Pi 3, touchscreen display, assembly box, SD adapter). Costs, purchase status, and serial numbers are tracked per item.

I wonder if we should add stub docs for continents like APAC, etc. where we do not have event boxes yet but this might encourage people to step up and help with the procurement, maintenance and utilities of those, rather than implicitly ruling that possibility out just because we specifically documented here about US and EMEA.

Love having this as part of the docs 😍 The event boxes always confused me 😆 Just some thoughts:

  • I was wondering how much of the 'Maintenance History' we are planning on keeping? Would we archive some of it once it hits maybe 5-10 entries?
  • Would it be up to whoever obtained the event box last to update this page or the Mindshare team?
  • Are the event boxes something people can request be sent to their event? If so should we include information about how to obtain or get a loan of the event box?
  • For items that need restocking - would there be a poc or process that could be listed to get that stock again?
  • If someone wanted to add swag to the event box, say more stickers or tshirts, could we advise them on how to request this? Like how to request the funding, point to Design team repo of existing designs, and so on. I know the Design Team gets requests for additional swag frequently.

Overall I think it's a good first iteration and we can add more information to the pages as time goes on!

92115e9eae
Inventory for both boxes was stale. Updated from the shared Pelican
tracker spreadsheet: NA box last verified by @carlwgeorge after LFNW
2026; EMEA box last verified by @lruzicka after DevConf CZ 2026. The
EMEA sticker inventory expanded from 7 items to 22 to reflect the actual
post-DevConf CZ stock, most of which is depleted.

Addresses review feedback from @t0xic0der and @ekidney: renamed
"American" to "Continental United States" for geographic consistency,
added a Type column to the NA table to match the EMEA table structure,
fixed the intro paragraph that incorrectly said "European" on the US
page, and added new sections to the overview for requesting a box, post-
event responsibilities, and a two-year archival policy for maintenance
history.

  • Fixed the intro paragraph on the US page that incorrectly said "European" instead of "American."
  • Renamed the page title to "Continental United States (US)" for geographic consistency. Both the US and EU page names now follow the same pattern.
  • Added a Type column (Consistent/Swag/Other) to the NA inventory table, matching the EMEA table structure.

@ekidney's feedback:

  • Added a "Requesting an Event Box" section. Event Boxes are available for Medium Events and larger, subject to availability.
  • Added an "After Your Event" section explaining that the event owner is responsible for working with the Committee to update inventory, and should open a swag refill ticket if stock is low.
  • Added a two-year archival tip to the Maintenance History on both inventory pages.

Inventory updates: Both boxes were updated from the shared Pelican tracker spreadsheet. NA was last verified by @carlwgeorge after LFNW 2026 and EMEA by @lruzicka after DevConf.cz 2026. The EMEA sticker inventory expanded significantly to reflect actual post-DevConf stock levels.

On stub pages for APAC/LATAM: I want to hold off on this for now. We do not have the shipping and storage logistics worked out yet to make this viable, so promoting it prematurely could set the wrong expectations. The "Help Wanted" callout on the overview page is sufficient until we do that homework.

This can be done either by sharing the updated inventory directly with the Committee in a mutually-agreed format, or by editing the relevant page on the Fedora Docs site.

Rename inventory type categories from Consistent/Other to Equipment/Swag
/Supplies for clarity. Remove duplicate Flock 2026 Postcards entry from
the EMEA sticker section. Replace ambiguous "TBD" tumbler quantity with
a dash and "Needs verification" note. Expand the GLC acronym to "Red
Hat's Global Logistics Center (GLC)" and link the inventory pages
directly from the "After Your Event" section using Antora xrefs.
